What to put on a consultant invoice
- Your name or business name, and your address.
- Your client's name and address.
- A unique invoice number. Keep them in order so they are easy to track.
- The invoice date, and the date you supplied the goods or services if it is different.
- A description of what you supplied, with quantities and prices.
- The total amount due and the date it should be paid by.
- How to pay you, such as your bank details.
- If you are VAT registered: your VAT number, the tax point, the VAT rate and the VAT amount.
- The project name and your client's purchase order number, if they use one. Many finance teams will not pay without it.
- Days or hours worked, and your rate, in the line description.
- Your company name and number if you are a limited company.

Questions
How do I invoice a retainer?
Add one line for the period, such as "Monthly retainer, March", with a quantity of one and the monthly fee.
Why does my client ask for a purchase order number?
Larger businesses often match invoices to purchase orders. Put the number in the notes or the line description.
Can I charge expenses?
Yes. List them as separate lines, with receipts available if the client asks.
Do I need VAT on a consultancy invoice?
If you are VAT registered, yes. Switch tax on and add your VAT number.
