How to make a tutor invoice

    Enter your business name, address and contact details. Add a logo if you have one. We remember them for next time.

    Fill in your client, then list sessions with the date range and rate. Switch on VAT only if you are VAT registered.

What to put on a tutor invoice

  • Your name or business name, and your address.
  • Your client's name and address.
  • A unique invoice number. Keep them in order so they are easy to track.
  • The invoice date, and the date you supplied the goods or services if it is different.
  • A description of what you supplied, with quantities and prices.
  • The total amount due and the date it should be paid by.
  • How to pay you, such as your bank details.
  • If you are VAT registered: your VAT number, the tax point, the VAT rate and the VAT amount.
  • The pupil's name or initials and the subject, if the parent or school wants it.
  • The dates or number of lessons, and your hourly or monthly rate.
  • Your cancellation terms, in a line or two, if you have them.

Questions

How do I invoice by the month?

Add one line for the month, such as "Maths tuition, March, 4 lessons", and put the monthly fee as the price.

Do tutors charge VAT?

Some private tuition is exempt from VAT, and many tutors are below the registration threshold. Check the GOV.UK guidance if you are unsure.

Can I invoice a school or agency?

Yes. Put their name and address as the client and the pupil in the description if they need it.

Should I say how to cancel?

A short line in the notes avoids confusion, for example "24 hours notice for cancellations".
