What to put on a personal trainer invoice
- Your name or business name, and your address.
- Your client's name and address.
- A unique invoice number. Keep them in order so they are easy to track.
- The invoice date, and the date you supplied the goods or services if it is different.
- A description of what you supplied, with quantities and prices.
- The total amount due and the date it should be paid by.
- How to pay you, such as your bank details.
- If you are VAT registered: your VAT number, the tax point, the VAT rate and the VAT amount.
- The number of sessions and the price for each, or the block price.
- The period the sessions cover and when they expire, if they do.
- Your cancellation or rebooking terms, kept short.

Questions
How do I invoice a block of sessions?
Put the number of sessions as the quantity and the price per session as the unit price. Add the expiry in the notes.
Can I invoice for online coaching?
Yes. Use a line such as "Online coaching, March" with a quantity of one.
Is personal training subject to VAT?
Only if you are VAT registered. Many self-employed trainers are not, so tax stays off.
Can I add a discount for a bundle?
Yes. Use the discount field as a percentage or a set amount.
