How to make a photography invoice

    Enter your business name, address and contact details. Add a logo if you have one. We remember them for next time.

    Add the work

    Fill in your client, then list the shoot, editing time and any licence or prints. Switch on VAT only if you are VAT registered.

What to put on a photography invoice

  • Your name or business name, and your address.
  • Your client's name and address.
  • A unique invoice number. Keep them in order so they are easy to track.
  • The invoice date, and the date you supplied the goods or services if it is different.
  • A description of what you supplied, with quantities and prices.
  • The total amount due and the date it should be paid by.
  • How to pay you, such as your bank details.
  • If you are VAT registered: your VAT number, the tax point, the VAT rate and the VAT amount.
  • What the client is paying for: the shoot, the editing and the number of final images.
  • The licence, if any. Say what the images can be used for and for how long.
  • Your terms for travel and any extras such as prints or albums.

Questions

How do I charge for a licence?

Add it as its own line and describe the use and length, such as "Web and social, 12 months". That keeps the shoot fee and the usage fee clear.

Can I invoice a deposit for a booking?

Yes. Make a first invoice for the deposit and a second for the balance, and mention the booking date in the description.

Should I include editing time?

Many photographers include a set number of edited images in the price. If you charge for extra edits, add them as a separate line.

What payment terms should I use?

For weddings, balance before the day is common. For commercial work, 14 or 30 days is typical.
