How to make a sole trader invoice

What to put on a sole trader invoice

  • Your name or business name, and your address.
  • Your client's name and address.
  • A unique invoice number. Keep them in order so they are easy to track.
  • The invoice date, and the date you supplied the goods or services if it is different.
  • A description of what you supplied, with quantities and prices.
  • The total amount due and the date it should be paid by.
  • How to pay you, such as your bank details.
  • If you are VAT registered: your VAT number, the tax point, the VAT rate and the VAT amount.
  • Your own name. A sole trader can also show a trading name, for example "Callum Reid, trading as Reid Joinery".
  • Your business address. This can be a postal address if you work from home.
  • A unique invoice number for every invoice. Keep them in order so your records are easy to check.

What should a sole trader invoice include?

Your name and address, your client's name, a unique invoice number, the date, a description of the work and the amount. Add your VAT number only if you are VAT registered.

Do I put my trading name or my own name?

You can use both. Many sole traders write their own name followed by "trading as" and the business name.

Do I need to be VAT registered?

Not unless your taxable turnover goes over the VAT threshold. If you are not registered, do not charge VAT.

How long should I keep my invoices?

Keep records for your tax return. GOV.UK has the current guidance on how long.
