How to make a graphic design invoice

    Fill in your client, then list design stages, extra revisions and file delivery. Switch on VAT only if you are VAT registered.

What to put on a graphic design invoice

  • Your name or business name, and your address.
  • Your client's name and address.
  • A unique invoice number. Keep them in order so they are easy to track.
  • The invoice date, and the date you supplied the goods or services if it is different.
  • A description of what you supplied, with quantities and prices.
  • The total amount due and the date it should be paid by.
  • How to pay you, such as your bank details.
  • If you are VAT registered: your VAT number, the tax point, the VAT rate and the VAT amount.
  • The stages you are charging for, such as concepts, revisions and final files.
  • Who owns the final artwork and when the rights pass to the client. Many designers say this on the invoice.
  • Extra revisions or rush fees on their own lines.

How do I invoice a design project?

List each stage as a line, such as concepts, brand guidelines and final files. If you have agreed milestones, make an invoice for each.

Can I charge for extra revisions?

Yes. Add a separate line with the number of extra rounds and your rate.

Where do I say who owns the artwork?

The notes section is a good place. A sentence such as "Rights transfer on payment in full" is common.

Should I take a deposit?

Many designers do. Invoice the deposit first and then the balance when the work is delivered.
